The Clayton Public Library Board of Trustees met on July 21st, 2026, at the library at 6pm. The following
members were present:

President Janet Rigg opened the regular meeting.
The secretary’s report was read by Ashley Venvertloh and a motion was made to accept by Barbara Graff and
seconded by Travis Rigg.
The treasurer’s report was read by all members present. The current Checking Balance is $52,657.54. A
motion was made to approve by Vanessa Davis and seconded by Ashley Venvertloh.
Past Business:
Summer Reading: The Summer reading program “Plant a Seed and Read” ran for six consecutive weeks,
offering two program sessions each Tuesday to accommodate different age groups. A total of 147 guests
participated across both sessions and all six weeks. There was strong and consistent community participation
throughout the summer.
Old Settlers: Dale Kill has confirmed the game list for the event. The Tug-of-War will not be included due to
safety concerns. The library will not be responsible for prizes or consumable supplies for the games
(watermelon, eggs, water balloons, etc). The library will also provide our own sensory and outdoor play items.
Fiero Code: The required training is close to being completed and there will be an open house scheduled as
soon as possible.
New Program Update: Patrons have shown enthusiasm for the sticker swap program on July 23rd.
Director Notes/New Business:
Employee Handbook Development:
There is a need for an official, updated employee handbook. Staff have requested approval to partner with
Gravitas to develop the library’s employee handbook, at a cost $249. The library’s representative, Alex Craig,
will oversee the project. This handbook will help ensure clear, consistent policies and provide a valuable
resource for staff. The process may take 6-12 months. A motion was made to approve the cost by Kayla Bruns
and seconded by Vanessa Davis.
Library Collection Weeding: Staff are reviewing the collection that no longer suits the library’s patrons.
Decisions are made based on checkouts and collections. A Back to School Book Sale is anticipated near the
start of the school year.
Reorganizing DVDs, Puzzles, and Games:
Staff plan to relocate one collection to create additional space and improve functionality in the area. There is
discussion on moving the games to the History Rooms.
Children’s Programming:
Children’s Programming will resume the week of August 18th. There will be a change to storytime, it will now
be held on Thursdays at 10am.
New Weekly Program: Family Friday
Beginning the first Friday of September, the library will welcome families each Friday for a rotating theme
program, including board games, crafts, Legos, reading night, and STEM activities. Staff anticipates this would
be to include ALL families, not just children! Activities will rotate with After School Clue/TeenTime that occurs
on Wednesday to keep activities fresh.
New Staff Position:
The advertisement for a new staff position will go live this week. The post will be for a Circulation LIbrarian for
10-12 hours per week. The posting will be on Indeed, in the local newspaper, and across the library’s social
media and website.

Still working on finishing details of the plaque with Stephanie.
Outdoor Structure:
The Tracy Family Foundation pool of funds available for this cycle is less than previously discussed and
expected. We would most likely receive $20,000 or less for this cycle or we could wait to submit for the fall
cycle to receive closer to $40,000. The Nielsen family still has interest in sponsoring a portion, but no further
conversation has transpired.
There are questions for the architect on lead time once funding is available, any potential cost increases in the
estimate with supplies.
Old Settlers Celebration:
The library plans to add three additional “fair-style” games: Hula Hoop Contest, Tug of War, and Dizzy Bat
Race. Watermelon Eating, Egg Toss, and WaterBallon Contest are already scheduled. The library will also set
up open ended play stations under the pavilion/battling cage area. This will include activities like using our
Mega Lincoln Logs, Mega Legos, a water table/sensory play area with truck cleaning water table, corn hole,
ladder toss, and a face painting/DIY Temporary Tattoo station.
Float ideas: America 250 is this year's theme. Ideas include living portraits of the USA (Uncle Sam, Mt
Rushmore, Statue of Liberty)
Summer Reading 2026: Plant a Seed & Read:
Yard signs will be placed this week. All guest slots are filled for this year’s program. Guests include: Illinois Ag
Extension, Josh McVicar (Illusionist), Robin (Master Gardener), Mike Speller (Story Teller), and Magician
Richard Landry.
Volunteer Recruitment: Currently, two volunteers have been secured.
Summer Kickoff Bash: May 22 3:00-4:30:
Kickoff is this Friday, Group activities include egg and spoon race, parachute red rover, water balloon toss, and
water balloon fight. Other open ended games will be set up to include corn hole, mega lincoln logs, sidewalk
chalk, and a bubble station to encompass more ages.
Back Driveway Gravel:
Bill at the Village of Clayton completed the work in full, including spreading and leveling the gravel. The Village
covered the cost entirely.
New Business:
Fiero Code: A setup meeting has been scheduled on May 21st for Fiero Code. The library will look to host an
open house/introduction in June.
Part-Time Staff:
The library will look to add an additional part-time staff member following the Summer Reading Program. Hiring
will begin with the goal of having a third staff member in place before the school year in the fall. This position
will be approximately 8-10 hours per week. This position will be responsible for circulation.

Correspondence was sent to the Nielsen family regarding the decision on the plaque and library naming. No
response has been received.
Outdoor Structure: The architect is expected to begin collecting bids soon. Tiffany from Tracy Family
Foundation has been assigned to assist with the grant portion of the project.
Old Settlers Celebration: The library has been invited to participate in the children’s games at this year’s Old
Settlers. There were discussions to avoid challenges that were experienced last year. Proposed a combined
effort where all children’s events would be held together.
Summer Reading Program 2026- Plant a Seed & Read:
Promotional yard signs and a large banner have been received. Placement is planned for one sign at the
library, one on the west entrance of town, and one near Dollar General. There is a need for a substitute
volunteer to cover the morning Storytime session in place of Ms. Samantha on June 16. Ashley Venvertloh
volunteered to cover this need. A lead volunteer will be needed to assist Marcie during the afternoon session.
There is a list of needed board member volunteer opportunities in the Summer Reading 2026 plan.

Kickoff to summer event outside. Planned activities include yard games, face painting, and packaged ice
cream (purchased from Sam’s). This event will serve as an opportunity to distribute information concerning the
Summer Reading Program.
Internet Router Replacement:
Currently all computers/internet/phone are serviced by Adams. The current Router is currently not serviced by
Adams. There was an outage on April 9th with the WiFi where the router’s power cord had failed. An estimated
cost was $480 (including the unit and installation). Adams was proposed to handle the installation, providing
access to trusted technical support going forward. The current router has been in use for about 7 years.
A motion to approve the cost was made by Barbara Graff and seconded by Travis Rigg.

Gravel is needed along the back lot and driving path used for dumpster access. This needs to be addressed
before the conditions worsen. Samantha will reach out to Bill Wilson via the Village about the cost of gravel.
Summer Reading–Volunteer Recruitment:
Recruitment for high school volunteers to assist with Storytime and Summer Reading sessions is underway.
There is an inquiry form available on the library’s website for interested individuals.
Schmidt and Barton Family Fund Donation:
The Schmidt and Barton Family Fund has generously donated $1,000 designated for youth programs. A
proposed use of the funds would be to create a mounted activity board to be installed in the children’s area
from wood and pool noodles (similar concept to a large lite-bright system but without lights). Will continue
discussion in the future.

A motion was made for Kayla Bruns to fulfill Angie Eidson’s remaining term by Barbara Graff and seconded by
Suzanna Ryssman.

The Clayton Public Library Board of Trustees met on February 24th, 2026, at the library at 6pm. The following members were present:

President Janet Rigg opened a closed meeting at 6:05. Yearly Raises for both Assistant and Director were discussed–Cost of living raises are currently 2.8%. All present voted yes to 3.5% raise for both Assistant and Director. Closed meeting adjourned at 6:13pm.

A motion was made by Suzanna and seconded by Angie to spend $50 for a floral arrangement for Marcie from April’s in Mt. Sterling for the passing of her mother in law.

Director Notes:
Outdoor Structure: No new updates, architect is currently in the bidding process and reviewing submissions.
Fiero Code: This program is a potential new digital resource to teach coding skills to patrons 8+. Supports workforce development and can provide a certificate to users. With the RAILS discount, annual cost would be $746.00 and application deadline is April 1, 2026.
-Would be used during Afterschool and Teen clubs, potentially creating a Tech/Coding Club.
Motion made to approve by Suzanna and seconded by Angie Eidson.
Dr. Conrad E. Nielsen:
Children’s Room Naming Request: The Family of Dr. Conrad E. Nielsen has requested that the children’s room be named in honor of Dr. Conrad E. Nielsen. The Family also expressed interest in proposing the entire library be renamed in honor in connection with a sizable donation to the library.
A motion was made by Suzanna and seconded by Vanessa to create a dedication plaque to the Clayton Clinic to include Dr. Conrad E. Nielsen and Dr. Frank Adrian and Nurse Mary.
Upcoming Events:
Adult Art Day on 3/6 from 1-4 to assemble floral Legos and decorate a vase that were donated.
Summer Reading: Illinois IREAD 2026 Summer Reading Program, themed “Plant a Seed and Read.”
Proposed Dates: May 28, June 4, 11, 18, 25, July 2 (6 Weeks) and Proposed Time: 2pm
One week of the program has been booked. Plans are in place to have all remaining weeks scheduled and confirmed by the end of March. Interested in looking at other local presenters including a bee keeper and petting zoo.
Other items:
Lost Books: Currently 224 items that are assumed lost. The goal is to reduce the number of assumed lost books below 200 by the next meeting.
Celebrating 250th Anniversary of United States:
-Idea proposed for an event such as “Laughs for Library” to create a fun event similar to “Are you Smarter than a 5th Grader” where parents vs children are quizzed on USA facts. Other ideas include a spelling bee.
-Proposed in July partnering with the village and using park facilities, inviting food trucks, other vendors, etc.
-Continue to discuss and will table for next month.
-Other options to put the library out into the community.
Vacant Board Seat Nominations:
A recommendation of Kayla Bruns was made. Proposed to have her attend the March meeting.
Printer: Looking ahead, there is a need to update the printer. It has issues when printing in color and the cost of the ink for the current printer is high. Will discuss at a future date.

Outdoor Structure: Preliminary Design provided for metal outside structure. Upon approval of the design, they will provide two bids, one for structure and tables, another including the storage structure. Occupancy of 34-60max. Bid will include power and lighting. Will include tables that are able to be permanently secured.
Motion to approve preliminary design for the outdoor structure approved by Suzanna Ryssman and seconded by Angie Eidson.

Proposed Wed/Fri hours to be adjusted from current 10am-4pm to 12pm-6pm. Storytime would stay at 9am, before open hours. Will make hours more consistent Tuesday-Friday. Motion to approve made by Vanessa Davis and seconded by Travis Rigg. New hours will take effect the week of Feb 3rd.

January 2025
The Clayton Public Library District Board of Trustees met on January 21, 2025, at 5:30 p.m. at Becky Barlow’s residence. Officers present included President Janet Rigg, Vice-President Vanessa Davis, Treasurer Brenda Graff, and Secretary Barbara Graff. Members in attendance were Becky Barlow, Charlotte Krueger, Angie Edison, Library Director Samantha Freed, and Assistant Librarian Marcie Staley. Suzanne Rossyman was absent.
The Secretary’s and Treasurer’s reports were read and accepted. A motion to accept the Ordinance No. 4 report as read was made by Becky Barlow and seconded by Angie Edison, which was approved by the board. The board also approved hiring Mavis Lantz to manage payroll and payroll tax services at a rate of $100 per month. This motion was initiated by Charlotte Krueger and seconded by Becky Barlow.
The Director discussed plans for the removal of two double-sided wooden bookshelves currently displaying books. These shelves will be stored in the storytime room closet to free up the space, which may be repurposed for a different book section adjacent to the Juvenile Fiction collection. New books will be displayed on slat wall end caps of existing bookcases once slat walls are delivered and installed. The township has requested a 60-day extension for the removal of their items. No updates were available regarding the painting of the History Room.
A meeting about the Hoopla website is scheduled for Thursday, January 23, and patrons will have excess starting the week of January 28th. The library’s first Adult Art Day will take place on February 7 at 2:00 p.m., during which attendees will create Valentine’s Day cards. Additionally, the Director had preliminary discussions about the Summer Reading Program theme and possible date ranges.
The board approved a $50 memorial donation for Fritzie Harper, with the motion made by Barbara Graff and seconded by Becky Barlow. At 8:20 p.m., the board entered a closed session and returned to the regular meeting at 8:53 p.m. During the closed session, it was decided that part-time employees would receive an hourly wage of $16.00 after completing a six-month probationary period. The board also approved a $400 clothing allowance for three employees for the 2025 calendar year. This motion was initiated by Barbara Graff and seconded by Charlotte Krueger.
The meeting was adjourned following a motion by Becky Barlow, seconded by Angie Edison. The next board meeting is scheduled for February 18, 2025, at the Clayton Public Library.

After School Club-Only two sessions left. This program has been a great addition to our children’s activities, and we are hoping that Stephanie will continue collaborating with us next year.
Bound Together Book Club-Attendance has significantly improved, with a steady group of returning and new members.
Summer Storytime-Sessions will be June 6, June 11,June 25 and July 9. Each day will be an important day. June 6 will be animal day, June 12 will be the Larry the Magician, June 26 will be Military Recruits and July 10 Mini Old Settlers Day.

The Clayton Public Library District Board of Trustees met on February 18, 2025, at 6:00 p.m. at the Clayton Library. Officers present included President Janet Rigg, Vice President Vanessa Davis, Treasurer Brenda Graff, and Secretary Barbara Graff. Members present were Becky Barlow and Angie Edison. Library Director Samantha Freed and Assistant Librarian Marcie Staley were also in attendance. Charlotte Krueger was absent.
The roll call included a brief discussion on what each member enjoyed most about Valentine’s Day.
Reports
The Secretary’s and Treasurer’s reports were read and approved.
Library Updates
- The library currently has 15 users on Hoopla. Patrons are encouraged to check it out.
- Lisa Ebbing recently painted the history room. The history room committee will begin decorating further after the book sale.
- The former Storytime closet has been repurposed as the Young Adult section.
New Business
- The annual book sale will take place from February 25 to February 28. All books will be sold for 50 cents. Clayton Library tote bags will be available for purchase to carry books.
- The library will be replacing bookcases in the Adult section with shelving from the Brown County Library. Samantha will notify the board when assistance is needed for this project.
- Brown County Library has also donated its circulation desk to Clayton Library, which will be a significant improvement.
- The Summer Reading Program theme will be "Saddle Up and Read." Samantha plans to conclude the program with a Mini Old Settlers Day celebration.
- Birth to Five and WCC will host a Storytime and informational meeting at the library.

- Endcap displays have been installed, replacing the bookcases between the back pillars. This creates a more open layout and extra space for adult programs.
- Samantha will research contractors to install posts for a sunshade to support outdoor programming this summer.
- Additional lighting is needed in the hallway and near the Inspiration Fiction section due to the new shelving arrangement.
- Kropp’s will complete power washing, window cleaning, and gutter maintenance by the end of April.
- We plan to relocate Junior Graphic Novels to the Young Adult Room. This shift will create much-needed space in the Children’s Room, allowing for expanded shelving and better organization.
- We are also adding a selection of Adult Graphic Novels, expanding our offerings for readers of all ages. Both Junior and Adult Graphic Novels will be located within the Young Adult room along the west wall.
Programs:
- Seed Swap was a success, sparking great conversation. Thanks to donations, a free seed table will remain available for ongoing patron use.
- Saturday Play Day saw new attendees. If scheduling allows, we’d like to offer this once a month as a weekend community activity.
- Summer Reading Program: will be held on June 6, June 12, June 26, and July 10. Themes include Animal Day, Larry the Magician, Military Recruits, and Mini Old Settlers Day.
- Volunteers: We currently have two high school volunteers for summer programming. We'd like to recruit two more.
- We’re also requesting two board members to assist on June 12 (Tie-Dye Spray Paint) and July 10 (Mini Old Settlers Day finale).

The Clayton Public Library District Board of Trustees met on May 20,25 at 6 p.m. at the Library. Treasurer's report was $63,703.60. Barbara Graff first made the motion and Vanessa Davis seconded the motion to approve.
We talked about the Summer Reading program. Samantha asked for volunteers,
Samantha is adding Tonies audio device and figures to the Children Collection. These screen -free storytelling devices are designed for young listeners and will offer art engraving hands on way to enjoy audiobooks and music.
Storytime graduation-We will have 5 children that will be graduating from Storytime and going to.
Kindergarten in the fall. We plan to have a Storytime graduation on July 9.
We have 2 high-school volunteers working this summer
Samantha asked for volunteers on August 9th at 11 am 12 pm to help with children's games.
Marcie Staley attended a conference held by. She got educated on how to properly use the products that we get from the company.
Our next meeting will be on June 24 at 6 p.m. Samantha will not be able to attend the regular meeting.

Old Settlers- The library needs to provide a minimum of 5 adult volunteers for the children’s games on August 9th from 11 am to 12 pm.
Old Settlers Parade- The Current idea for the float is to have a “jail cell” built on a flat bed with a few board members inside. Marcie and Samantha will be on the outside of the jail cell as the sheriffs. Looking for suggestions and aid for constructing the jail cell.
Fourth of July- Samantha would like to be closed on July 3rd in addition to July 4th. We would move our open Saturday to July 12th instead of the 5th in order to allow staff to enjoy the holiday and still meet the needs of the community.

Samantha would like to explore an outdoor space designed by a professional. The cost would be covered by a TFF grant.

- Teen Time – Last Friday of the month, 4–5 p.m.
- Book Club will meet on August 20th at 2 p.m.

The board first met at Jersey’s to have dinner. They then went to the Brown County Library to see the new library.
The Clayton Public District Board of Trustees met on July 15 2025 at 6:30 p.m. at the JWCC center in Mt Sterling.
Officers present were President Janet Rigg, Vice President Vanessa Davis, and Treasurer Brenda Graff.

Back to School
The Back to School Bash on August 15th went very well. We extend our thanks to Garret Kill and the Clayton Fire Department for their support. The event had strong attendance and the Eggstronaut activity was a fun way to kick off the school year - Golden Ticket Giveaway Update: To date, we have issued two new library cards as part of National Library Card Sign-Up Month. Additional promotion will continue next week with a newspaper advertisement and expanded online marketing efforts.

Puzzle Club
Puzzle Club, launched in August, has been well received. Based on strong participation, we expanded the puzzle selection for different ages and piece counts and transitioned the program from monthly to weekly. Water and packaged snacks continue to be provided. - Computers
The current patron computers will soon be unusable, as they are too old to support the required network update. Adam’s Experts of Quincy will be visiting to provide a quote for three new patron computers and to assess staff computers for potential updates

Afternoon Play Day
Afternoon Play Day will be held on the last Wednesday of each month from 1–4 p.m. This program opens the children’s area for free play with big toys, sensory bins, and other engaging activities. It is designed for ages 0–5 and welcoming for homeschool families. -
Adult Art Day
Join us on Thursday, October 3, from 1–4 p.m. for Adult Art Day. This activity is book bedazzling. We will provide gems, supplies, and a selection of books to decorate, though patrons are encouraged to bring a book of their own to personalize. - Adult Side Furniture
ResourceOne Design Firm from Springfield, IL conducted a site visit on September 5. We are currently awaiting renderings with different furniture options and budget estimates.
